Admin and Reception Volunteer
We are currently looking to recruit a volunteer to support our administration and reception duties within the organisation.
Hours: Flexible to suit the individual, ideally a minimum of 3–4 hours per week between the hours of 9:30am - 4:30pm Duration: Short-term opportunity with the possibility of extension.
This volunteer role provides valuable support to the staff team and offers an opportunity to gain experience within a third sector organisation that delivers creative wellbeing services. The successful volunteer will assist with reception duties, administrative tasks, and database support to help ensure the smooth running of the organisation.
Reachout with Arts in Mind provides services for members who are at various stages of managing their wellbeing through creative activity. As part of a small and supportive team, the volunteer will have regular interaction with members and staff. The list of duties outlined below is not exhaustive, and additional tasks may be undertaken from time to time as the needs of the organisation evolve.
Full guidance and support will be provided, including any necessary training.
Key Responsibilities
Reception
Welcoming members and visitors into the studio
Managing online attendance registers
Answering and directing phone enquiries where required
Database Support
Updating the member database in line with GDPR requirements
Maintaining and updating monitoring databases
Supporting the Engagement Manager with data entry using Excel and Outlook
Administrative Support
Printing and preparing documents required on a weekly basis
Assisting with the preparation of New Member Packs
Providing general administrative support to the team when required
Health and Safety
Assisting with the creation of Hazardous Substances data sheets for the Reachout studio and office
Full training and guidance will be provided for this task
Skills and Qualities
We are looking for someone who can demonstrate:
A friendly and approachable manner
Good literacy and communication skills
Knowledge or understanding of mental health and disability
Confidence using basic IT systems (including email and spreadsheets)
Good organisational skills and attention to detail
An interest in supporting a community-focused charity environment
Interest in the arts and creative wellbeing
This role would suit someone who is looking to gain experience within the third sector, develop administrative skills, or contribute their time to supporting a creative wellbeing charity.
